• First the Project of choice is selected from the drop-down button.

 

• “Claim Start Date” is entered to view only those vouchers that have been initiated after the particular date given by the textbox. This is an optional field to help in filtering and limit the scope for convenience.

 

• “Claim End Date” may be entered to view only those vouchers that have been initiated before the particular date given by the textbox. This is an optional field to help in filtering and limit the scope for convenience. 

 

• There are two ways of entering the date: 

Ø      First is to type the date in the textbox.

Ø      Second is to click on the calendar and then choose the date by navigating to the correct date. The ◄ and ► are used to move to previous and subsequent months. The |◄and ►| are used to move to previous and subsequent years.

 

• The next field is the “Claim Status” which facilitates viewing those entries, which have a status same as indicated by the drop-box next to it. By default it is “Pending” but by changing it to “Approved” we can view only those claims that have been approved.

 

• Press “View” to view the claims that meet the set criteria.

 

• The “Claim Sheet List” shows the voucher numbers, person name, person code, date and status of claim in their respective fields.

 

• Clicking on a particular voucher number gives details of that particular voucher.

 

• Incase the voucher has been approved it is displayed as a report in Acrobat Reader.

 

• If the voucher is pending it can be approved or rejected by clicking on the appropriate radio button and then clicking on the submit button. Incase it is a travel claim the “Per Diem” has to be set before the submitting the claim.

 

• The  “Per Diem” rate is set to Rs.200 by default and may be changed if desired. Click on the “Calculate” button to calculate the total, which includes the total “Per Diem” and the other claimed expenses. After this the claim can be submitted by clicking on the appropriate radio button and then clicking on the submit button.

 

• The “Reset” button is provided to reset the values including the total.
